The International Youth Nuclear Congress (IYNC) is pleased to announce that it will be accepting proposals for hosting IYNC2012!

Qualified Young Generation organizations wishing to host the meeting are encouraged to read these materials and notify the officers as soon as possible (and preferably by 1 April 2010) of their intent to submit a proposal. The final proposal is due by 1 June 2010 so that all submissions can be reviewed and considered at IYNC2010.

IYNC is an international organization of young people interested in nuclear science and technology with representation from about 50 countries. In addition to ongoing educational and networking activities, IYNC has organized five successful general Congress meetings:

IYNC2012 will be organized and run by an International Youth Executive Committee (the Ex-com) with representatives from around the world, including a strong group of local organizers. The Ex-com is co-chaired by a Local Representative and the IYNC President. Committee members should be enthusiastic and willing to contribute a significant amount of their time, ideally with some support from their employer or university. An International Advisory Committee will be formed to support the Executive Committee.

A successful Congress meeting requires support from the nuclear industry and governmental structures in the host country or countries. These organizations will be expected to provide both financial and other forms of support for the meeting. Members of the Ex-com will need travel support to participate in preparatory meetings in different regions of the world. While international donors are also solicited, significant support from the local nuclear industry will be required to secure enough financial backing for a successful meeting. Strong local support will also encourage greater participation from the host country and the region in both the Congress meeting and general IYNC activities. It is expected that IYNC2010 will boost YG activities in the host region.

While start-up funds are available from the general IYNC budget, subject to approval by the IYNC Board, the IYNC2012 budget will be separately managed. Any start-up funds are to be reimbursed in full from the IYNC2012 budget when enough sponsorship funds are solicited.

It is anticipated that a local formal organization, such as a national nuclear society, will sign an agreement with IYNC regarding the sharing of responsibilities, profits, and losses on behalf of the hosting young generation organization. This organization can provide a legal framework for operating in the country such as a bank account, bookkeeping services, and insurance coverage.

This organization can also provide some reasonable measure of financial backing in the event of meeting losses. IYNC will provide organizational support to IYNC2012 including IYNC branding, international advertisement efforts, www.iync.org web-site, access to the major international sponsors and young generation groups worldwide, along with the experiences, best practices and lessons learned from the previous Congresses. If a profit is recognized, up to 25% of such profit will be left with the hosting young generation organization while the remainder will go to IYNC to support continued international young generation activities.

It is expected that there will be 250-400 people attending IYNC2012. The ideal location for the meeting will have the following features:

  • Reasonably accessible for international travelers
  • Large auditorium along with several smaller rooms for workshops and sessions
  • Affordable housing available for participants either at the site or nearby
  • Sites of technical and cultural interest within a short distance
  • A willing group of young people to make up the local organizing committee

As the 2006 and 2008 Congress meetings have been held in Europe, we are especially interested in proposals from outside Europe.

This notification is not a binding agreement to submit a proposal but will help the officers in planning and will allow them to provide assistance (especially with the preparation of an estimated budget), additional details and recommendations for the final proposal. At a minimum, please include the name of the proposed sponsoring organization and contact name(s).

Final proposals with all bid materials are due by 1 June 2010 and must also be sent to Kate Ryabikovskaya.

The selection of a hosting organization for IYNC2012 will be made by the Board of Directors of IYNC at the International Meeting to be held in conjunction with IYNC2010 in Cape Town, South Africa. This meeting is currently scheduled for the evening of Thursday, 15 July 2010, but the exact timing is still subject to change. The selection of hosting organization will be made according to the bylaws of IYNC. Vote by proxy will be available. Each bidder will have 15 minutes for a presentation followed by 15 minutes for questions. We hope that several young people representing the proposed local organizing committee will attend IYNC2010 and assist in presenting your proposal to the board.

List of Local Organizing Committee Members and Responsibilities:

General Co-chair/Local Chair: Responsible for all in-country arrangements, as delegated to other members of local organizing committee. As such, this position will require a significant time commitment throughout the entire process. Should have familiarity with local organizations to secure financial and other forms of support. Ideally should have some experience with organizing a conference.

Finance Chair: Responsible for developing a meeting budget and keeping track of all income and expenses. Templates will be provided, but attention to detail is crucial. Ideally should have some financial experience.

Registration Chair: Responsible for handling all registration details of participants including meeting registration, visas and hotel arrangements in advance of the meeting and running the registration desk.

Reservations Chair: Responsible for all arrangements with facilities and service providers needed for the meeting.

Technical Tours Chair: Responsible for all arrangements for technical tours organized in conjunction with meeting.

Special Events Chair: Responsible for arrangements for special social, cultural, or athletic events.

Additional local committee members are needed, especially as the meeting draws near, to assist in completing all the local logistical arrangements. The complete Executive Committee will also consist of an international group filling the positions of Technical Program Chair, Corporate Sponsorship Chair, Publications Chair, Public Information Chair, Secretary, Web Chair, Promotional Chair, Awards Chair, and others.
